IVR (Interactive Voice Response) is a system that automatically receives calls, plays menus and guides customers to press or speak to be transferred to the correct department. If done well, the operator will be less burdened, if done poorly, the customer will be upset because they are "lost in the menu". Principle: short menu, few floors, always a quick way to "meet real people". Zenify recorded 74% of customers switching channels when service was poor.

What is IVR
IVR works when a customer calls:
The system receives calls and sends greetings.
Play the menu: "Press 1 for consultation, press 2 for application...".
The customer presses a key (or speaks) → the system transfers the correct part.
Purpose: route to the right person from the beginning, without having to ask the operator "What do you need?" for every call (see Call routing).
Why does a confusing IVR menu make customers angry?
Long menu: 7-8 choices in one sentence, customers don't remember.
Multiple floors: "press 1 → press 2 → press 3", lost customer, wants to cancel.
Unintelligible pronunciation: Long, unfamiliar department names.
There is no way out: I keep pressing but no one comes through, the customer cancels the call.
Customers angrily cancel calls, 74% of customers change channels when service is poor, or even refuse to return.
IVR menu design principles
1. Short menu: maximum 4 options
Don't give out 8 items: guests only remember the first 2-3 choices.
Grouping: "press 1 for customer care" instead of separating each service.
2. Few floors: maximum 2 floors
Ideal: 1 floor then people.
2nd floor only when really needed (choose branch, choose service).

Say "customer care" instead of "customer service". Say "order lookup" instead of the system name.
Add reminder: "…press 0 to meet the operator directly".
4. There is always a way to "meet real people"
Key 0 switches people, or reminds the customer to "hold on to meet the operator".
Customers want to meet someone but stuck in the menu = losing customers.
5. Have the customer enter available information
Check the order: enter the phone number/order using the key, the operator will not ask again.
