Win-back email is an email campaign sent to customers who haven't bought in a while — with the goal of bringing them back before they're gone. Effective 3-mail scenario: letter 1 reminder (reminds why you should come back), letter 2 offers (conditional discount code), letter 3 time-rush (last time before "closing the application"). Win-back is many times cheaper than recruiting new customers because old customers already know you. Zenify recorded a 37% increase in repeat purchases (approved) for successful win-back businesses.
TL;DR
- Win-back email = sent to customers who haven't bought in a while to bring them back.
- 3 messages: reminder → incentive → urgent time.
- Old customers are cheaper than new customers — win-back is worth doing.
- "Long time no buy" segment first, don't send to everyone.
- Measure: open rate, click rate, return to purchase.
What is Win-back email
Win-back email targets "cold" customers - haven't bought for a long time but haven't completely lost:
Retail: do not buy 30-60 days beyond the cycle.
Service: no appointment/no renewal.
Why it works: Old customers already know you, trust you — just need a push to come back. The cost is much lower than advertising to attract new customers (see Cost of new customers vs retaining old customers).
3 letter script
Letter 1 — Reminder (day 0)
Hello sir/madam! It's been a while since you've visited [Shop name]. I see you have been interested in [product] — now the shop has a few new suitable products:
[Product 1] · [Product 2]
If you need any advice, just text me!
Goal: Light reminder, no sale. Guests remember you exist.
Letter 2 — Offers (day 7)
Hello sir/madam! Since it's been a while since you've stopped by, I'm giving away code [CODE-REDUCTION] for [X]% off your next order, valid until [date].
Please stop by the shop to have a look - I keep the goods and give you dedicated advice!
Goal: give reasons for action. Limited discount code for motivation.
Letter 3 — Time crunch (day 14)
Hello sir/madam! This is the last time I mention the discount code [CODE-REDUCTION] — about to expire [date].
If you are in need, this is the best time. If you need anything, just text me!
(If you're no longer interested, just skip — thank you for your support!)
Goal: final decision. Include a respectful exit.
Correct principles of writing win-back
Pre-segment: only send to truly "cold" customers according to your cycle.
Conditional offer: Limited time discount code, apply later — avoid "rewarding" departing customers too generously.
Right customer channels: If customers are familiar with Zalo, send Zalo, if you know email, send email — send to the right place for customers to read (see Gather multi-channel inbox).
Respect the exit: It's okay to "ignore" letter 3 — don't be annoying.
No spam: Maximum 2-3 messages, with a day gap.
Measure win-back effectiveness
Chỉ số | Ý nghĩa
Open rate | Did the letter arrive/was attractive enough
Hit rate | Content that piques interest
Return to Purchase Rate | Main goal — win or lose campaign
Reference target: A return to purchase rate of a few % is success for the "cold" group for a long time.
