What is a Lead? Lead vs Prospect vs Opportunity

Lead is someone who has shown interest in your product/service (filled out a form, sent a message, downloaded documents) but is not yet sure to buy. Prospect is a lead whose needs and capabilities have been identified. Opportunity is a prospect that has entered the pipeline, has an estimated value, and is in the process of closing. Making the right distinction helps you focus your efforts in the right places. Zenify records that the cost of acquiring new customers is 5-25 times higher than retaining old customers (approved).

What is Lead

Lead = person who "raised their hand" to show interest:

Fill out the form, message Zalo to ask for price, download brochure, call hotline.

Contact information has been provided — but not sure if there is a need to buy.

For example: the customer fills out the "service package quote" form → that is the lead. They can only check the price, they can actually buy it.

What is Prospect

Prospect = lead has been identified as having need and purchasing ability:

You asked/talked and saw that they had a problem that needed to be resolved.

They have the budget and decision-making power.

For example: lead says "my shop is responding slowly to customers on 3 channels, want to see the solution" → is a prospect: has a clear need.

What is Opportunity

Opportunity = prospect has entered the sales pipeline, has:

Estimated value (deal size).

Specific stages (consulting, sending quotes, finalizing).

Estimated chance of winning.

For example: prospect has requested a quote of 50 million, awaiting budget approval → opportunity is in the "quote" stage.

How to manage each stage

Lead → Prospect

Call/text to verify needs within 24-48 hours.

No need yet → put it into foster care (email/CRM), don't throw it away.

Prospect → Opportunity

Confirmation: there is a problem, there is a budget, there is the right to decide.

Enter the pipeline with estimated value (see Sales Pipeline).

Opportunity → Chốt

According to the sales process, there are specific steps and follow-up schedules.

Unable to close → determine the reason, return to the previous stage or re-nourish.

Common lead management mistakes

Taking care of all leads equally: It's a waste of time for people who only scout prices.

Remove leads that are not ready: they can buy after 3 months — gently nurture.

Regardless of stage: don't know who is "hot" to prioritize.

There is no transition process: leads enter CRM but no one follows up.
