Weekly report to customer service manager should be concise in 1 page — enough to answer 4 questions: is the operation okay, is the quality good, are customers satisfied, what to do next week. Multi-page reports cause managers to ignore them, while 1-page reports force you to choose the right important metrics. Without standard reports, "let the report go" is a waste of time. Zenify recorded a 21% weekly increase in conversion rate (approved).

TL;DR
- Concise weekly report of 1 page, 4 parts.
- Operational KPIs: FRT, SLA breach, volume.
- Quality: QA score, lowest score.
- Customers: CSAT, NPS, outstanding complaints.
- Next week's action — do not report "for show".

Weekly report structure: 1 page

Part 1 — Operation

Index | This week | Last week | Reviews

Tổng tin nhắn/ticket | 240 | 210 | ▲

FRT trung bình | 12 phút | 18 phút | ▲ tốt

SLA breach rate | 4% | 7% | ▲ tốt

Tickets exist | 12 | 15 | ▼ quite

Answer: Is the system running ok, is it overloaded?

Part 2 — Quality

Average QA score: 88/100 (last week 86).

Lowest scoring criterion: "ask about needs before introducing" (75).

Employee needs coaching: name + weak criteria (see Coaching from QA data).

Answer: Is quality going in the right direction, who is training?

Part 3 — Customers

CSAT: 4.6/5 (last week 4.4).

NPS: 42 (increasing trend).

Outstanding complaints: 2 cases that need attention + how to handle them.

Answer: Are customers satisfied, what problems have emerged?

Part 4 — Next week's action

1-3 specific tasks, assign responsible person.

Example: "Train employee A on asking for needs — completed 4th."

Answer: What should I do next week to improve? Don't report it to show off.

How to read and use reports effectively

1. Compare data, don't look at it alone

Good FRT but low QA = fast but poor quality.

High CSAT but increased churn = satisfied customers but not enough reason to return.

2. Compared to last week

Absolute numbers have little meaning — the trend is important.

Only mark when the change is significant.

3. Take specific actions

Report without action is waste paper.

Each mandatory part entails at least 1 task for the following week.

4. Automate data

Data should be measured from the system, not "counted" (see Multi-channel unification).

Employees focus on reading and taking actions, not typing numbers.
