Fragmented data is a situation where data of the same customer is scattered in many systems, channels and departments without being connected, each place holds a piece and sometimes even contradicts each other. As a result, employees never see the full picture: customers have to repeat information, get wrong advice, and businesses cannot segment who is a VIP and who is about to leave. Customer experience is therefore gradually dying. Zenify recorded a 21% increase in conversion rates for its multi-channel data consolidation business.
TL;DR
- Disjointed data = data from the same client is scattered, not connected.
- Cause: many separate apps, no common identifier, no one responsible.
- Consequences: repeat customers, wrong advice, false reports, loss of data when staff leave.
- Data consolidation = the foundation of a good experience.
- How to do: collect channels, identify by phone number, a common data source.
What is discrete data: 3 typical manifestations
Discrete data appears through three manifestations that every business encounters:
Same customer, many records: Customer "Nguyen A" has 3 records: one in the fanpage app, one in Zalo, one in the sales Excel book, and the information is different in each place.
Divisions look different: Sales sees that the customer has not yet purchased, customer service sees that the customer has bought 5 times. Still the same person.
Knowledge resides in the individual's head: "that guest has a history of complaints" is known only to the former employee; If they stop, they will lose.
All three symptoms are signs of a lack of a single source of customer data.
Why does fragmented data kill the experience?
Because a good experience requires "understanding the customer", and if data is fragmented, no one can understand the customer. Four ways fragmented data ruins the experience:
Guests must repeat information: Guests tell the story 3 times to 3 departments; Feeling forgotten and wasted time.
Wrong advice: VIP customers are treated like new customers and do not receive proper incentives.
Not being proactive: not knowing that customers are about to leave, not realizing that old customers are returning.
Report deviation: "new customer" figures are inflated due to duplicate records; decisions based on wrong numbers.
Customer experience is essentially the sum of contextual interactions. That context is lost when the data crumbles.
Root cause of fragmented data
Three main causes of creating fragmented data:
Tools not connected: fanpage app, Zalo, order software, switchboard are separate "data islands".
There is no common identifier: the same customer, each system identifies it differently (phone number, Zalo name, email).
Lack of data accountability: no one is responsible for the integrity of client data.
How to merge customer data
Merge data in 4 steps:
Collect interactions into one platform: chat, calls, emails all into a single system.
Identification standardization: use phone number as primary key; Merge duplicate records automatically.
Connect order data: store/CRM integration to record all shopping levels.
One source for every department: sales, customer service, marketing read and write the same records, no one keeps separate copies.
For small businesses, the most feasible way is to use an integrated CXM platform multi-channel + CRM + orders, instead of connecting multiple separate systems (see What is CXM?).
