Sales handoff is the process of handing over the customer from the sales team to the care team after closing — so that the customer does not "fall into the void", and does not have to recount his needs from the beginning. Good handoff: fully recorded in CRM, with transfer notification, customer service proactively greets customers. Zenify noted that customers wasted time having to repeat information (reviewed -35% processing time).
TL;DR
- Handoff = handing over customers from sales to customer service.
- Loss of context = customer has to retell, frustrated.
- Fully recorded in CRM before handover.
- Customer service proactively greets customers — customers do not "fall into the void".
- Measure satisfaction rate after handoff.
Vì sao handoff quan trọng
Gap between sales and care: Customers have finished closing, sales have "let go", customer service has not received them yet - customers are abandoned.
Loss of context: Customer service did not know what sales promised → customer had to tell → frustrated, lost trust.
Initial experience impact: New customers are hot - bad handoff immediately cools trust.
Standard handoff process
1. Fully recorded before handover
Sales recorded in CRM (see Guest Profile 360):
Products/services sold, value.
Commitments, incentives, promises to customers.
Needs and exchange history.
Next thing to do.
2. Handover notice
CRM status update: deal closed → moved to "care".
Assign a specific person in charge of customer care — don't leave it "unowned".
3. Customer service proactively greets guests
New customers receive proactive contact: "Hello, I am [name] in charge of care, I understand the information about the package you just purchased..."
Summarized → the customer sees a careful handover.
4. Follow up after handover
Check if customers are satisfied after 1-2 weeks (see What is CSAT).
Detect problems early → handle them before customers complain.
What does the handover include?
Mục | Chi tiết
Guest information | Name, company, contact person
Buy products | Package, value, term
Commitment | Offers, support, promises
History | What was exchanged, what was sent
Next job | What to do for guests
Principle: Customer care staff reads the file to understand everything - no need to ask the customer.
Common handoff errors
No handover: The customer "disappears" after closing - no one cares.
Oral handover: forgot the content, did not record it → lost information.
Lost commitment: Sales promised but customer service did not know → no one handled the customer's request.
The customer must recount: The customer service asked from the beginning → the customer was upset and lost trust.
No person assigned: Status changes but no one is in charge.
