Instant messaging increases closing rates because texting customers are "hot" customers — they are comparing, wondering, and their attention span only lasts a few dozen minutes. Responding quickly keeps customers there, responding slowly gives them time to forget you and buy from someone else. The metric is First Response Time (FRT) — the time from when a customer messages to the first response. Zenify recorded a 21% increase in conversion rate (approved) for businesses that responded quickly.

Why does speed determine orders?

Customer texting behavior:

A customer messages asking for prices from 3 shops at the same time (comparing).

Shop responds within 5 minutes → customer feels cared for → asks again.

Shop responded after 2 hours → customer bought somewhere else or forgot.

Online customers are not as patient as customers who come to the store. At the store, customers have made the effort to come so they wait; On chat, customers just need to swipe and go.

The first response can be auto-reply — it is important that the customer receives the response immediately, not standing still waiting.

After auto-reply, real people take over to give in-depth advice.

Note: FRT only makes sense when actually measured — the system measures automatically, not "guessing" (see What is First response time).

How to ensure no news delay

1. Breaking news alert

Notify new messages immediately to the person in charge.

"Overdue message" alarm when exceeding the FRT mark — don't let the message lie dormant.

2. Auto-reply retention

Automatically reply immediately: "Hello! I will respond immediately" to waiting customers (see Automatic Messenger script).

3. Clearly assign tasks

Who is on duty at what time frame — no "everyone thinks someone else is worried" (see Multi-agent: chia inbox).

4. Check existing information

At the end of the day, check all unanswered messages — don't let the day go without anyone handling it.

When "fast" isn't enough

Quick but meaningless answer: "ok", "yes" doesn't solve anything — only quickly + according to need can be finalized.

Fast but no follow-up: After answering, I leave, the customer keeps asking, no one answers.

Speed ​​is important, but getting the content right and following through is more important.
