Tone of voice of a chatbot is the way the bot talks to customers — friendly, polite, professional or youthful — must match the brand and audience. The right tone helps guests feel comfortable; The wrong voice makes the customer "hate the phone" even if they answer correctly. Zenify records AI processing accuracy 98.4% (approved) — but accuracy is only meaningful when customers feel respected.

How to build tone of voice
1. Identify audience and industry
Who is your guest? Which industry? Is the emotional risk high or low?
2. Record tone rules
How to address yourself? ("you", "me", "we")
Long or short sentences? Use emoji?
How to apologize, how to close a sentence?
3. Write standard sentence patterns
Greetings, replies, fallbacks, apologies — 2-3 samples of each (see Fallback chatbot).
Agent and chatbot share the same tone → consistent.
4. Test with real customers
Audition on a group, see CSAT feedback and then make adjustments.
Chatbot tone principles
Always be polite: "yes", "hello" are appropriate — not curt.
Short: customers don't want to read the text from the bot.
Be as natural as a human: avoid mechanical sentences "Please wait a moment, the system is processing".
Don't be too "fussy": Emojis are rampant and make customers uncomfortable.
Be gentle when the customer is upset: do not argue, apologize and transfer people (see When you need someone).
