Automatic lead allocation is a CRM rule that assigns new leads to the right people — by rotation, region, product, or load — without the need for a manager to manually assign them. Correct allocation helps leads to be contacted immediately, no one competes, no one misses out. Zenify records that the cost of acquiring new customers is 5-25 times higher than retaining old customers (approved).
TL;DR
- Automatic allocation = CRM distributes leads to the right people without needing to assign them manually.
- Alternate: fair, simple.
- By area/product: right expertise.
- Hot lead must be in your hands immediately — no waiting.
- Avoid scrambling and missing leads.
Why is automatic allocation needed?
Lead assigned to hand: slow, forget, "whoever is fast wins" → scramble, miss.
Lead waiting to be assigned → cold → customer buys elsewhere.
Automatic allocation: whoever the lead reaches, that person contacts immediately within 24-48 hours (see Lead management).
Allocation rules
Rules | How it works | Suitable
Alternate | Lead divided into order by each person | Evenly matched team
By region | Lead of which area → person in charge of that | Sell by location
By product | Lead asks which product → knowledgeable person | Many product lines
According to free people | Lead to the person with the least amount of work | Uneven loading
According to source | Lead from which channel → the team in charge of that channel | Division by channel
Rule combinations: e.g. priority by region first, in alternate regions — flexible according to CRM configuration.
Configure lead allocation
Define main rule: area? product? alternate?
Set preconditions: which lead belongs to which group — based on region, source, product.
Set the scope: who on the team gets the lead — avoid assigning it to someone on leave.
Prioritize hot leads: Hot leads (asking price, clear need) go to the person who is most available.
Fallback: no one in the group → manager receives or transfers to another group.
Avoid scrambles and omissions
Competing: leads are distributed according to clear rules → not "whoever is fastest wins".
Omission: every lead has an owner — there are no "ownerless" leads lying in wait.
Lead redemption: everyone keeps the old lead and does not release it → stipulates the time when the lead must be updated, otherwise CRM will transfer it to someone else.
Uneven loading: Track the number of leads per person, adjust the rules when there are deviations.
Common attribution errors
No rules: lead tied hands, scrambled, slow.
Allocation to people on leave: Lead lies in wait all week.
No fallback: no one receives it → lead drifts away.
No measurement: I don't know who receives more/less, who contacts quickly/slowly.
